LSBC Policy Manual
CAMPER REFUND POLICY
Purpose: To set forth guidelines governing instances when a refund should or should not be issued to a camper's family.
Definition: A refund is defined as the return of monies paid in advance to the camp for summer camping fees. Regardless of method of original payment, refunds will always be issued via check.
Policy: Camper fees will be refunded if cancellation is made at least 48 hours prior to the start of the scheduled camp. Refunds will not be given for no-shows. In case of medical or family emergency that prevents 48 hours’ notice, exception may be made at the discretion of the Business Manager and/or Camp Board President.
RENTAL REFUND POLICY
Purpose: To set forth guidelines governing instances when a refund should or should not be issued to a rental customer.
Definition: A refund is defined as the return of monies paid in advance to the camp for rental fees. Regardless of method of original payment, refunds will always be issued via check.
Policy: Refunds of rental deposits and/or prepaid fees will be made for cancellations given proper notice, according to the schedule below.
1-day Rental: Notice must be given 48 hours in advance.
2-4 day Rental: Notice must be given 7 days in advance.
5-7 or more day Rental: Notice must be given 14 days in advance.
SCHOLARSHIP POLICY
Purpose: To set forth guidelines for campers/families wishing to apply for scholarships to attend LSBC.
Definition: A scholarship shall be defined as any amount of money granted by the camp to cover all or a portion of a camper's fees.
Policy: Campers unable to pay the full camping fee may apply for scholarship funds. A limited number of full and partial scholarships are available each year. Application for scholarship funds must be made in writing on the scholarship application form and received by the camp Business Manager at least 7 days in advance of the camp start date. Applicant will be notified if scholarship is awarded no later than 72 hours before camp start date.
PURCHASING POLICY
Purpose: To set forth guidelines governing the ability of an employee to purchase goods and/or services on behalf of Lake Springfield Baptist Camp.
Policy: Lake Springfield Baptist Camp has established the following guidelines as to which employees are allowed to purchase and/or approve purchases made by others:
Up to $500: Any single manager (Program, Business or Maintenance)
$500.01 to $1,500.00: Any manager plus President and Treasurer
$1,500.01 and above: Requires affirmative vote of the Board of Directors
Exceptions to the above schedule may include: routine large purchases necessary for property management (ex: propane, summer camp food purchases), real estate taxes, progress billings for ongoing projects previously authorized by the Board of Directors.
COMPANY ISSUED DEBIT/CREDIT CARDS
Purpose: To set forth guidelines governing the use of credit and/or debit cards obtained by Lake Springfield Baptist Camp for use by employees in the course of routine business.
Definition: A company issued credit or debit card shall be any line of credit, represented in the form of a card that can be presented at checkout or used for online purchases.
Policy: Credit and/or debit cards obtained by LSBC must be safeguarded by those to whom the cards are entrusted. Further, the cards should not be used for automatic monthly payments of any bill, product or service. Cards should be used only to purchase supplies and/or services related to the operation of the camp. Any credit card expenditure must be substantiated with a receipt and proper expense category designation and retained so that the Business Manager may include such in the Accounts Payable records. Improper use of credit and/or debit cards and/or loss of such card indicates a serious breach of fiscal responsibility and may result in disciplinary action up to or including termination
EQUIPMENT USAGE POLICY
Purpose: To set forth guidelines for the use and care of LSBC-owned tools and equipment to protect from damage, loss, theft and/or liability issues.
Definition: Equipment owned by Lake Springfield Baptist Camp shall be defined as hand tools, gas or battery operated tools, and motorized equipment including but not limited to: lawn mowers, golf carts, tractors and Bobcat-type vehicles.
Policy: Usage of LSBC-owned equipment shall be limited to LSBC employees, board members and qualified volunteers. No one under the age of 16 nor any camper shall be permitted to drive any motorized equipment or vehicle. LSBC-owned tools and equipment shall be returned to their proper location when work is finished. Tools and equipment should not be left around the camp or on any job site. When campers and/or renters are on the campus, extra care should be taken to secure all tools and equipment to prevent damage or loss of tools and guard against possible injury to guests.
DOCUMENT RETENTION POLICY
Effective June 1, 2016, Lake Springfield Baptist Camp adopts the following policy for document retention:
FISCAL RECORDS: 7 YEARS
PERSONNEL RECORDS: 14 YEARS
CAMPER RECORDS: 7 YEARS
BANK STATEMENTS: 7 YEARS
BUSINESS RECORDS ISSUED BY GOVERNMENTAL ENTITIES, HISTORICAL DOCUMENTS, ETC: INDEFINITELY
WEDDING POLICY
Effective August 1, 2015, it is the policy of Lake Springfield Baptist Camp that no wedding shall be performed on LSBC property.
STATEMENT ON MARRIAGE
Lake Springfield Baptist Camp aligns its beliefs with the American Baptist Churches of the USA. The ABC-USA stance on marriage is the following:
ABC-USA embraces diversity within the family structure. As policy, the Church supports the right of all people to build mutually satisfying human relationships. However, in November 2005, The General Board voted “To amend the document entitled We Are American Baptists by adding the following statement to the section A Biblical People: Who submit to the teaching of Scripture that God's design for sexual intimacy places it within the context of marriage between one man and one woman, and acknowledge that the practice of homosexuality is incompatible with Biblical teaching.”
